When it comes to ensuring your delegates’ details and feedback are processed efficiently for certification, following the correct process is essential. This guide provides step-by-step instructions and best practices to make the process seamless. A flowchart illustrating the process is included below.

Key Steps for Submitting Delegate Details:

Using QR Codes for Details and Feedback
  • At the end of the course, delegates use a QR code to enter their details and provide feedback.
  • If delegates successfully submit via the QR code, no additional manual paperwork is required.
Handling Manual Submissions

For delegates unable to submit via the QR code:

  • Collect their information manually using the appropriate form.
  • Input these details via Trainer Hub or scan the QR code to submit on their behalf.
  • Retain the physical form until you receive an email confirming certificate validation.
  • Once validated, dispose of the paperwork in line with your organisation’s policy.

Important!

– Ensure the correct course and completion date are selected – be aware that the date defaults to the current day’s date so you will need to adjust this if you are inputting data after the completion date. This is necessary to ensure the delegate has the correct expiry date on their certificate.

– Do not email or post manual paperwork back to SkillBase First Aid unless you are requesting data input assistance (see point ‘If SkillBase Needs to Input Delegate Details’ below).

    If SkillBase Needs to Input Delegate Details

      Send original paperwork by post to the main office address. You MUST include your Trainer PIN so we know who you are!

      Scanning and emailing these documents is not permitted.

      Confirming Successful Submission
      • Delegates who successfully submit their details via the QR code will see an on-screen confirmation message: “Thank you – your attendance has been submitted to our team.”
      • Before the delegate leaves: Verify they see this message.
      • Instruct them to close the page to prevent accidental duplicate submissions.

        Additional Tips:

        • Double-check the accuracy of all submissions, whether via QR code or Trainer Hub.
        • Follow data protection and disposal policies rigorously to maintain compliance.
